Get more from the team you have, with AI that takes the repetitive work.
Most businesses now use AI somewhere, but thinly: a few people with ChatGPT, a Copilot licence nobody was trained on. This service finds where your team's hours really go, automates the repetitive work with AI assistants and agents, and measures the hours you get back.
Run by Dom Roberts, 30 years building the systems businesses run on.
Where businesses are
Most firms use AI. Few use it deeply.
The national figures say adoption is up, but the use is shallow and the training hasn't kept pace. That gap is where the hours are hiding.
of UK businesses with ten or more staff now use AI, nearly three times the 2023 level. Most use just one or two kinds of AI tool.
ONS, AI in UK businesses, 2023 to 2026of those businesses say more than half their workforce has had any AI-related training.
ONS, same releaseof UK small and medium-sized businesses expect AI to help most with efficiency, and 39% with freeing people from repetitive tasks.
IONOS and YouGov, SMB survey 2026How it works
From a time audit to automations your team trusts.
We start with one team, prove the hours, then move to the next. Every automation keeps a person in charge of anything that leaves the building.
Time-and-task audit
Sit with the team and log where the hours go. Rank every repeating task by how often it happens, how predictable it is and what a mistake would cost.
Quick wins with approved tools
Set up one approved AI assistant with the right data settings, then build prompts and templates for the team's five most common tasks and train everyone on them.
Automations for the heavy lifting
Build agents and workflows for the high-volume work, connected to the systems you already use: inbox triage, quote and proposal drafts, document and invoice extraction, report writing, CRM updates. Each one has an approval step where it matters.
Measure and embed
Compare hours and error rates against the audit, name an owner for each automation, and agree what to tackle in the next team.
Typical automations
The kind of work we take off people's plates.
These are patterns from systems I've built. Your audit decides which ones matter for you.
| Team | Repetitive work | What AI does | Where a person stays in charge |
|---|---|---|---|
| Finance | Explaining daily or monthly movements | Drafts the commentary from the numbers | Analyst checks and signs off |
| Legal and contracts | Reading scanned agreements for key terms | Extracts parties, dates and obligations; flags risks | Lawyer reviews flagged items |
| Field service | Turning job sheets into certificates and invoices | Fills the paperwork from the engineer's notes and photos | Office approves before it's sent |
| Sales | First drafts of quotes and proposals | Builds the draft from the enquiry and price list | Salesperson edits and sends |
| Operations | Weekly reports pulled from several systems | Gathers the data and writes the summary | Manager reviews the conclusions |

- Hands-on trainingFor the whole team, on their own work
- Hours-saved reportMeasured against the audit
Fit
Who this is for.
A good fit if
- You have 10 to 250 staff and a team that feels stretched
- A lot of the week goes on admin, reports, documents or copying data between systems
- Some people use AI already, without any shared rules
- You'd rather grow output than hire for every new piece of work
Probably not yet if
- Your core systems are about to be replaced. Do that first
- You want to cut headcount on day one. This is about giving people time back
- You haven't decided whether AI belongs in the business. Start with Where AI fits
Questions
AI automation, answered.
Which AI tool should we buy?
Usually the one that fits the systems you already run. If you live in Microsoft 365, Copilot is often the natural choice; otherwise ChatGPT, Claude or Gemini business plans. I'm vendor-neutral and recommend based on your data rules and the tasks in your audit.
Do we need to replace any of our systems?
No. The automations connect to what you already use, such as Microsoft 365, Xero, your CRM or your shared drives, through their existing connections.
Will staff resist it?
Less than you'd think, when they choose which tasks to hand over and see the time come back. That's why we start with an audit of their own work and train everyone on it.
What about GDPR and client data?
We agree which data each tool may see before anything runs, use business plans that don't train on your data, and keep personal data out of tools that aren't approved for it. The ICO's guidance on AI and data protection is our reference.
How do you measure hours saved?
Against the time-and-task audit from week one. We re-measure the same tasks at the end, along with error and rework rates.
